1st Choice Insulations Ltd (“we”, “us”, “our”) is committed to protecting and respecting your privacy. We are a specialist retrofit insulation contractor providing cavity wall insulation and extraction, loft insulation, roof ventilation and timber treatment to homeowners, contractors, housing associations and local authorities across the UK.

This policy explains what personal information we collect, how we use it, who we share it with, and the rights you have over it. It applies to information we collect through our website (www.1stchoiceinsulations.co.uk), through our Client Portal, and in the course of surveying and installing insulation measures at your property.

We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. The information we collect

Depending on how you interact with us, we may collect the following:

Information you give us

•       Enquiry details — when you complete the enquiry form on our website we collect your name, email address, telephone number, postcode and the contents of your enquiry.

•       Survey and installation details — if you proceed with a quote or installation, we collect your full address and property details, the measures surveyed and installed, photographs of the property (pre-install, mid-work and post-install), and any access or safety information relevant to the work.

•       Correspondence — records of any communication with us by phone, email or in person.

Information we collect for commercial clients

Where we work with contractors, housing associations and local authorities, we process information relating to their projects and to the residents of the properties we work in. This may include resident names, property addresses, contact details, appointment information and job-level records, which we hold and make available to the relevant client through our Client Portal.

Information we collect automatically

•       Technical and usage data — when you visit our website we may collect your IP address, browser type and device information, the pages you view and how you reached the site. This is collected through cookies and similar technologies (see section 4).

3. How and why we use your information

We do not use the personal data submitted through our enquiry form for marketing or any purpose other than processing your enquiry, unless you have separately agreed to this.

Our website uses cookies — small text files placed on your device — to help the site work and to understand how it is used.

•       Analytics cookies. We use Google Analytics to collect anonymous, aggregated statistics about how visitors use our site (such as which pages are most popular and how visitors move through the site). 5. Who we share your information with

We do not sell your personal data. We may share it with the following, only as necessary:

•       Our clients — where we carry out work commissioned by a contractor, housing association or local authority, we share relevant job and resident information with them through our Client Portal and during project handovers.

•       Certification and scheme bodies — such as TrustMark, the relevant PAS 2030/2035 certification body, the Insulation Assurance Authority (IAA), the Property Care Association (PCA) and guarantee providers, where required to register measures and provide your warranty.

•       Our service providers — including our website provider (Naked Marketing), IT and portal providers, and our health-and-safety consultants (The RedCat Partnership Ltd), who act on our instructions.

•       Professional advisers and authorities — such as accountants, insurers, auditors, regulators and law-enforcement or government bodies where we are legally required to do so.

Where third parties process data on our behalf, we put written agreements in place requiring them to keep your data secure and to use it only for the purposes we specify.

6. International transfers

Most of your data is stored and processed in the UK. Some of our service providers (for example Google Analytics) may process data outside the UK. Where this happens, we ensure appropriate safeguards are in place, such as the UK’s International Data Transfer Agreement or an adequacy decision, so that your data receives an equivalent level of protection.

7. How long we keep your information

We keep personal data only for as long as necessary for the purposes set out in this policy, and to meet our legal, accounting, warranty and compliance obligations.

•       Website enquiries that do not proceed

•       Installation, survey and compliance records — retained for the duration of the relevant guarantee and any statutory requirement. Because cavity insulation works carry a 25-year industry guarantee and timber treatments carry a 15-year guarantee, related records may be held for the life of those guarantees and for a reasonable period afterwards.

•       Financial and accounting records — held for at least 6 years as required by law.

When data is no longer needed, we securely delete or anonymise it.

8. How we keep your information secure

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, misuse or alteration. Access to our systems and Client Portal is restricted to authorised personnel, and all of our surveyors and installers are directly employed and enhanced DBS-checked. While we work hard to protect your data, no transmission over the internet can be guaranteed to be completely secure.

9. Your rights

Under UK data protection law you have the right to:

•       be informed about how we use your data;

•       request access to the personal data we hold about you (a “subject access request”);

•       ask us to correct inaccurate or incomplete data;

•       ask us to erase your data in certain circumstances;

•       restrict or object to our processing of your data;

•       request the transfer of your data (data portability) where applicable; and

•       withdraw your consent at any time where we rely on consent (for example, analytics cookies).

To exercise any of these rights, please contact us using the details in section 1. We will respond within one month. There is normally no charge.

10. Children and safeguarding

Our website and services are aimed at adults and are not directed at children. We do not knowingly collect data from children through our website. When working in occupied homes where children or vulnerable adults may be present, our DBS-checked teams follow strict safeguarding protocols, and we process only the information necessary to deliver the work safely.

11. Other websites

Our website contains links to external websites, including those of our accreditation bodies. This policy applies only to our website, so we encourage you to read the privacy policy of any other site you visit.

12. Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page with a revised “last updated” date. Please check back periodically.
